Knowledge Management as the Foundation for Successful AI

On June 30 and July 1, 2026, COSMO CONSULT exhibited SmartStash at Infinity 365 in Salzburg. The event is one of the most important gathering places for the Microsoft 365 community and brings together experts, users, and decision-makers from the fields of modern work, digital transformation, and artificial intelligence.

For the SmartStash team, Infinity 365 provided an excellent opportunity to connect with numerous visitors, learn about current challenges in knowledge management, and discuss the future of digital collaboration together.

Two presentations with practical relevance

In addition to the conversations at the booth, SmartStash also gave two presentations on stage.

AI is only as good as your data

Under this title, Sandra Filser and Stefan Emrich explained why a successful AI strategy begins long before the introduction of Copilot or other AI solutions.

The discussion focused on how companies organize their information today and the importance of the structure, quality, and discoverability of knowledge for the future use of artificial intelligence. This is because AI can only access knowledge that is actually available, up-to-date, and formatted in a way that systems can use.

The subsequent discussions made it clear that many organizations are currently facing exactly this challenge. Although large amounts of information are available, they are often scattered across different platforms, only partially documented, or difficult to find.

In the second presentation, Andreas Eckstein introduced COSMO CONSULT and provided insights into the company's work processes and digital collaboration.

Valuable Discussions at the Booth

I have particularly fond memories of the many conversations I had with visitors at the SmartStash booth. A wide variety of perspectives were represented, ranging from SharePoint administrators and IT managers to business unit staff and executives.

Despite differences in industry and company size, similar challenges emerged in many of the discussions:

  • Knowledge is managed in a distributed manner across numerous systems and applications.
  • The information is available, but it cannot be found quickly.
  • Documentation becomes outdated over time or is not consistently maintained.
  • Critical knowledge is often stored in the minds of individual employees.
  • There is a lack of clear responsibilities for maintaining and approving content.
  • Companies want to implement AI solutions, but are still laying the necessary groundwork to do so.

One issue that came up particularly often was the lack of structure in knowledge. Many organizations have large amounts of information but struggle to make it available in a clear, up-to-date, and target-audience-appropriate manner.

In high demand: reliability and clarity

The discussions highlighted the requirements that companies today place on modern knowledge management solutions.

SmartStash's capabilities generated particular interest in the following areas:

  • Binding Approval Processes for Content and Documentation
  • Read receipts for transparent information sharing
  • Centralized knowledge platforms based on Microsoft 365
  • Tag-based overview pages and web parts for dynamically assembling content
  • Clear Responsibilities for Knowledge Management
  • Improved Accessibility of Information

Many visitors quickly recognized the added value that a structured knowledge platform offers for day-to-day work. The combination of governance, user-friendliness, and automated information delivery, in particular, generated a great deal of interest.

Knowledge Management Is Becoming a Key Success Factor for AI

A key takeaway from Infinity 365 was the close connection between knowledge management and artificial intelligence. While many companies are currently evaluating the potential of Microsoft Copilot and similar technologies, the question of whether their existing knowledge base is sufficiently prepared for this is increasingly coming into focus.

The discussions in Salzburg clearly showed that the value of AI depends largely on how well information is organized, maintained, and made accessible. Companies that invest in a structured knowledge base today are simultaneously laying the groundwork for tomorrow’s successful AI applications.

Conclusion

The Infinity 365 event in Salzburg was a resounding success for SmartStash. Two engaging presentations, many interesting conversations, and an open discussion about the current challenges in knowledge management made the event a true highlight.

The numerous conversations at the booth were particularly valuable, as they demonstrated that topics such as knowledge preservation, governance, information architecture, and AI-powered support are currently on the minds of many companies. At the same time, it became clear that the demand for modern, user-friendly knowledge management solutions continues to grow.
